Repro Limited (“Repro,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website repro.co.zm (the “Site”).

Please read this policy carefully. By using this Site, you agree to the collection and use of information in accordance with this policy.

1. Our Commitment to Data Protection

Repro Limited is a Zambian company. We are committed to protecting your privacy in full compliance with Zambia’s Data Protection Act, 2021, and other applicable global best practices for data privacy and security.

2. Information We Collect

We collect information about you in a few different ways when you use our Site.

A. Personal Information You Provide to Us:

We collect personally identifiable information that you voluntarily provide to us when you:

Fill out a contact form (e.g., “Request a Discovery Call,” “Get a Quote”).
Apply for a job through our “Careers” page.
Interact with our “Shop” or “Book Binding” quote forms.
Subscribe to a newsletter or blog.

The information you provide may include:

Your Full Name
Your Email Address
Your Phone Number
Your Company Name
Any professional information you provide in a resume or CV, such as employment history (for job applicants).
Any other information you choose to provide in a message body.

B. Information We Collect Automatically (Usage Data):

When you access the Site, we may automatically collect certain information about your device and how you use our Site. This data is collected to help us improve our services. This includes:

Device and Browser Information: Your IP address, browser type, operating system, and device type.
Usage Information: The pages you visit on our Site, the time and date of your visit, the time spent on those pages, and the links you click.

Google Analytics, our analytics provider, collects this usage data only if you accept analytics on our cookie banner. If you have not made a choice, or you select Reject, Google Analytics does not run during your visit. Section 5 lists the cookies we use, and sub-section C below describes the visit counts we keep ourselves.

C. Website statistics we collect ourselves

We count visits to our pages in daily totals, so that we can see which pages are used and how people find us. For each day we store a number: how many page views, and how many clicks on our telephone, email and WhatsApp links, grouped by the page, the type of page, a broad category of where the visit came from (for example search, social media or direct), a broad device category (phone, tablet or computer), any campaign tags in the link that brought you here (for example utm_source), and an estimated country.

To estimate the country, our own server briefly looks at the network address your connection uses, compares it with a country database stored on that server, keeps only a two-letter country code, and discards the address. The address is not sent to any other company for this and is not stored in these statistics. The estimate can be wrong, for example on mobile networks, VPNs or company networks. The database is DB-IP Country Lite (IP Geolocation by DB-IP, licensed CC BY 4.0).

These statistics do not contain your IP address, browser details, cookies, a user number or anything else that identifies you, and they cannot follow you from page to page. This counting does not set cookies on your device. Like any website, our web server keeps ordinary technical logs of requests, which include IP addresses, for security and operation (see section 4, How We Share Your Information, which refers to our hosting provider).

If you have not made a choice on our cookie banner, your visit is included in these daily totals. If you select Reject, or your browser sends the Global Privacy Control signal, your visit is not counted. Google Analytics is separate: it runs only if you accept analytics on the banner.

Daily totals are kept for 25 months and counts of discarded technical requests for 90 days.

3. How We Use Your Information

We use the information we collect for the following purposes:

To Respond to You: To provide the services you request, such as responding to your “Discovery Call” request or providing a quote for a Ricoh printer.
To Improve Our Website: To understand how our visitors use the Site, through Google Analytics reports (for visitors who accepted analytics) and through our own daily visit counts described in sub-section C, so we can improve the user experience.
To Process Job Applications: To review your qualifications for a role at Repro, as submitted through our Careers page.
For Marketing (With Your Consent): To send you emails about our new services, blog posts (like the ones we wrote), or special offers. We will always provide a clear way for you to “unsubscribe.”
To Maintain Security: To protect our Site and data from fraud or illegal activity.

4. How We Share Your Information

Your trust is our most important asset. We do not sell, trade, or rent your personal information to third parties.

We may only share your information in these limited circumstances:

With Service Providers: We may share data with third-party companies that perform services for us, such as our web hosting provider (HostGator) or our analytics provider (Google). These providers are contractually obligated to protect your data. Our website and its database are hosted on servers in the United States, so the information you send us through the Site, and the ordinary web server logs mentioned in sub-section C, are stored there.
With Official Partners (for Service Delivery): If you request a quote for a specific brand (like Docuware or Ricoh), we may share your inquiry details with that partner only for the purpose of fulfilling your request.
For Legal Reasons: We will disclose your information if required to do so by law or in response to a valid request by Zambian public authorities (e.g., a court or government agency).

5. Cookies and Tracking Technologies

Our Site uses “cookies” to help us analyze web traffic and improve your experience. A cookie is a small file placed on your computer. We use cookies for:

Essential: To remember your choice on the cookie banner, to keep your quote list (a cookie that lasts 30 days), and to help protect our forms from spam (Google reCAPTCHA).
Analytics (only if you accept): To understand our website traffic with Google Analytics.
Functionality: To remember your preferences and the products you have recently viewed.

When you first visit, the cookie banner lets you accept or reject analytics cookies. If you do not choose, or you select Reject, Google Analytics does not run, and a Global Privacy Control signal from your browser is treated as Reject. The cookie settings button lists every cookie we declare, with its purpose and how long it lasts, and you can change your choice there at any time.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent.

6. Your Data Rights

In accordance with Zambia’s Data Protection Act, you have rights over your personal data. You have the right to:

Access: Request copies of the personal information we hold about you.
Correct: Request that we correct any information you believe is inaccurate.

Withdraw consent: Where we rely on your consent, such as for Google Analytics, you can withdraw it at any time using the cookie settings button on the Site, or by contacting us.
Object: Tell us that you object to our using your personal information for a particular purpose, such as marketing emails.

We use a range of commercially reasonable administrative, technical, and physical security measures to protect your personal information. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.

Our Site will contain links to other websites (like the blog posts we wrote, which link to external resources). We are not responsible for the privacy practices of those other sites.
